Richmond Caring Place Meeting Room Terms and Conditions


Meetings, workshops and classes only.


Bookings will be refused if the number of attendees exceeds the capacity of the room at the time of booking. If the room capacity is exceeded during the booking your party will be asked to leave and no refund will be provided.


Online credit or debit card payments must be made at the time of booking.

Payments by cheque must be received 7 days in advance of the date of the booking or the booking will be cancelled. Cheques should be made payable to Richmond Caring Place Society and mailed to:

A $25 fee will be charged for any NSF cheques.


Reservations can be made up to one year in advance for internal tenant agencies and up to 3 months in advance for external agencies. Any bookings outside of these time frames will be automatically cancelled.

You can manage your room booking by logging in to the web site ( Here you can edit and/or cancel your bookings, and you can also manage your account details.

The confirmation of bookings is at the sole discretion of the administrative staff. Bookings can be cancelled by the administrative staff at any time if we are unable to facilitate the booking.


Cancellations or modifications must be made through your online account no later than 7 days prior to the booking.

Any cancellations within 7 days of the date of the booking will result in 50% of the total booking fee being retained. Any cancellations within 2 days of the date of the booking or no-shows will result in the booking fee being retained and may impact your ability to make future bookings. Multiple cancellations may also impact your ability to make future bookings.

Modifications to the booking made within 7 days of the booking date will not be accommodated.

If more than 7 days’ notice is given the full booking fee will be returned subject to a $25 administration fee.


Room rental time includes set up and clean up time. Renters are responsible for room set up. Set up of tables and chairs can be arranged in advance for a fee of $25. Please ensure that you vacate the room promptly at the end of your booking.

Rooms must be left exactly as they are found. All groups must wipe down the tables, chairs and counters. Sort all disposables into the relevant waste receptacles and return all tables and chairs to their original positions.

A minimum cleaning fee of $25 will be charged if rooms are not left in good order. If there is any damage, the cost of repair will be charged in full. Rooms will be inspected after each meeting.

PA Sound System can only be used in rooms 340, 345 and 350 if there are no simultaneous bookings in adjacent rooms. Noise levels in meeting rooms must be respectful.

Movement of the room partition walls is the responsibility of Richmond Caring Place staff. Renters are not to move partitions without prior authorization.

If any terms and conditions are broken your booking may be cancelled and your group will be asked to leave. No refund will be given.


Richmond Caring Place Society is not responsible for any lost or stolen items.


Pay parking is in effect and is managed by Impark in the Minoru Boulevard lot and by City of Richmond in the Granville Avenue lot.

All meeting room users must follow current provincial health orders and guidance in relation to Covid-19 and any failure to do so may result in the cancellation of the booking with no refund and the responsible user being held liable. Room capacity limits must be strictly adhered to.
