  • Movement of the room partitions will be the responsibility of the administration staff. Renters are not to move partitions on their own without authorization.
  • Meeting room users are responsible to set up chairs and tables and clean up. Set up can be arranged for a fee ($25.00)
  • Rooms will be inspected after each meeting.
  • PA Sound System can only be used in larger meeting rooms, rooms 340, 345/50 if the other group is not occupying the adjacent space.
  • Reservations – Tenants can reserve rooms for up to 1 year in advance
  • Outside agencies can reserve rooms up to 3 months in advance
  • Bookings will be refused if occupancy is over capacity in order to adhere to fire regulations
  • Bookings can be made no more than 12 months in advance ( i.e. January 1, 2020 bookings can be made for the month of January, 2021).
  • Two no shows for any booking within a 6 month period will reduce/cancel booking privileges for the remainder of that booking period. Cancellations of 2 sessions of a block booking will result in the loss of that block booking.
  • Noise levels in meeting rooms must be respectful, else the group will be asked to leave.
  • Room capacity must be adhered to, else the group will be asked to leave.
  • Too many bookings may result in refusal of some bookings per quarter.
  • Too many no shows may result in a fine or reduced bookings.
  • Multiple cancellations may result in a fine or reduced bookings.
  • Surplus bookings may result in a request to reduce bookings.
  • Set-up time must be indicated.
  • Take-down time (cleaning up the room and repositioning chairs and tables for the next group is required) should be included in booking request.
  • Thirty minute grace period follows between room bookings to facilitate the exchange – 15 minutes for one group to vacate; 15 minutes for the next group to access.
  • Set up time should be included when booking times.

Note: *There is a $25.00 fee charge for each signed – out equipment for outside agencies.

All external agencies, non-profits and commercial organizations, can proceed to a booking without an account. During the booking request process, your account will be created. We will review your account and organize you into the correct user category, applying the correct rates to your booking (s).
